How to Clean & Descale a Hot Water Dispenser

An instant hot water dispenser makes everyday life easier, from your morning coffee to a quick afternoon cuppa. But just like a traditional kettle, regular cleaning and maintenance are essential to keep it performing at its best.

Here's how to clean, descale and care for your hot water dispenser.

How to clean a hot water dispenser

Regular cleaning helps keep your digital hot water dispenser hygienic, free from residue and ready for everyday use.
1. Switch off and unplug: Always disconnect your hot water dispenser from the mains and allow it to cool completely before cleaning.
2. Clean the water tank: Remove the detachable water tank, empty any remaining water and clean it according to your product's instructions. Avoid abrasive sponges or harsh cleaning chemicals.
3. Wash the drip tray: Remove the drip tray and wash it with warm, soapy water to prevent residue and water marks from building up.
4. Wipe the exterior: Use a soft, damp cloth to clean the digital display, stainless steel detailing and outer surfaces. Never immerse the main appliance in water.
5. Refill with fresh water: Once everything is clean and dry, reassemble the dispenser and refill the tank with fresh drinking water.

Regularly emptying and refreshing the water tank helps prevent stale water and keeps your hot drinks tasting their best.

How to descale a hot water dispenser

Limescale is one of the most common causes of reduced performance in hot water dispensers, particularly in hard water areas across the UK. As water heats, dissolved minerals such as calcium can form deposits inside the appliance. Whilst the water filter is effective at minimising this, over time, limescale build-up can affect water flow, heating efficiency and the lifespan of your dispenser.

After approximately 10 hours of use, your Cooks Professional digital hot water dispenser's descaling indicator will flash to remind you it's time for a clean. Add 80g of citric acid, 100ml of white vinegar or a suitable descaling solution to the water tank, then fill halfway with water. Hold the Volume button for 3 seconds to activate descaling mode and allow the tank to empty. Refill with the same descaling mixture, select 45°C and 200ml, then leave to soak for approximately 2 hours. Repeat the descaling cycle before running two full tanks of clean water through the appliance to rinse thoroughly. Finally, remove the drainage stopper to release any remaining water, then securely refit it before use.

How often should you descale? This depends on your water hardness and frequency of use. Cooks Professional Digital Hot Water Dispenser have a built-in limescale monitor that sets off after around 10 hours of use.

Why changing your water filter matters

One of the easiest ways to maintain your instant hot water dispenser is to replace its water filter regularly.

Cooks Professional digital hot water dispenser filters use a combination of particle filtration, ion-exchange resin and activated carbon to help reduce chlorine, unwanted flavours and limescale-forming minerals.

Regular filter replacement helps:
- Reduce limescale build-up: Helps protect internal heating components and maintain water flow.
- Improve water taste: Reduces chlorine, odours and unwanted flavours for fresher-tasting tea and coffee.
- Maintain filtration performance: Prevents an exhausted filter from becoming less effective over time.
- Support appliance longevity: Helps minimise mineral deposits that can affect performance.

Our replacement water filters are compatible with all Cooks Professional digital hot water dispensers and are available in packs of 2, 3 and 6, providing approximately 4, 6 or 12 months of use.

For the best results, replace each water filter approximately every two months, or as directed by your product instructions. Remember, using a water filter helps reduce limescale but doesn't eliminate the need for occasional descaling.

Simple habits to extend your hot water dispenser's lifespan

A few everyday habits can help keep your hot water dispenser working efficiently for years to come.
- Use fresh drinking water: Regularly replace water left standing in the tank.
- Never run the dispenser dry: Keep the water level above the minimum indicated level.
- Replace filters regularly: Maintain effective filtration and reduce mineral build-up.
- Descale when required: Follow limescale alerts and your appliance's maintenance instructions.
- Keep the digital display dry: Clean touch controls with a lightly dampened cloth rather than spraying cleaning products directly onto them.
- Check the drip tray: Empty and clean it regularly to prevent overflow and residue.

Frequently asked questions

How often should I descale my hot water dispenser?
For our machines, we recommend after 10 hours of running time and the machine will give you an alert. Descaling frequency depends on water hardness and how regularly you use the appliance.

How do I remove limescale from an instant hot water dispenser?
Use a descaler suitable for your specific appliance and follow the manufacturer's recommended descaling procedure. Rinse thoroughly as instructed before preparing drinks.

How often should I change my hot water dispenser filter?
Cooks Professional replacement water filters are designed for approximately two months of use per cartridge, depending on water quality and frequency of usage.

Why is my hot water dispenser dispensing water slowly?
Reduced water flow can be caused by limescale build-up, a low water level or an obstruction. Check the water tank, filter and maintenance indicators, then give everything a thorough clean before running again.

Can I use vinegar to descale my hot water dispenser?
Yes, our hot water dispensers can be descaled using white vinegar. Simply add 100ml of white vinegar to the water tank and follow the recommended descaling instructions. Once complete, run two full tanks of clean water through the appliance to remove any remaining vinegar and leave your dispenser ready to use.
